  • BW Digital campus at Batam’s Nongsa Digital Park (under construction): an ecosystem of digital infrastructure consisting of a 120MW AI-ready data centre (NDP1), a submarine cable between Singapore and Batam (NCC) and a terrestrial fibre network in Nongsa Digital Park (Citra Connect).
  • Hawaiki Nui (in development): a 10,000km submarine cable system planning to connect Australia, Indonesia and Singapore.

Position

The Lead Document Controller is a full-time role and will be part of the Construction and Project Management team.

 

Location

Based in our offices in Batam, Indonesia.

 

Overview

Reporting to the DC Construction and Project Manager. Lead Document Controller is responsible for establishing and overseeing the document control system for a hyperscale data centre project, ensuring full traceability, accuracy, and timely distribution of documentation. This role manages document workflows across design, procurement, construction, and commissioning to handover, with a focus on revision control, long-lead equipment updates, customer and operational requirements, and cross-functional coordination. The role also supports procurement tracking, site coordination, and reporting for project stakeholders.

 

Key Responsibilities

  • Implement, manage, and maintain a robust Document Control System (DCS) using platforms such as Aconex, Procore, SharePoint, Asite, or equivalent.
  • Ensure controlled access, data integrity, and systematic document lifecycle management from creation to close out.
  • Track and control all drawing revisions, ensuring correct versioning, approvals, and distribution to relevant parties.
  • Manage design change documentation, including updated layouts, CSA and MEP designs, and IFC drawings.
  • Maintain traceability of client requirements, operational documentation, and change logs across all disciplines.
  • Track fabrication updates, issues, NCRs, and vendor correspondence for all LLE packages (e.g., generators, chillers, UPS, switchgear).
  • Coordinate with the procurement team to assist in PO issuance tracking, documentation gathering, and backlog follow-up with vendors and subcontractors.
  • Log and track all document submissions (shop drawings, material submittals, RFIs, MSs, ITPs, etc.) and maintain detailed records of their review and approval status.
  • Distribute documents to internal teams, consultants, clients, and subcontractors, ensuring timely access to the latest approved documents.
  • Act as the primary document control liaison with consultants, client vendors, and estates.
  • Support site coordination meetings by providing document status updates, ensuring availability of required drawings and logs.
  • Facilitate document reviews, approval cycles, and secure handover documentation preparation for commissioning and client delivery.
  • Generate and submit regular reports to the Project Manager on:
    – Outstanding submissions and reviews
    – Overdue actions
    – Drawing and document revision histories
    – Design update on CSA and MEP.
    – LLE documentation tracking

 

Qualifications & Experiences

  • Minimum 8 years’ experience in construction project as document control and 3 years of experience in a lead role on large-scale or hyperscale data centre construction projects.
  • Excellent communication and interpersonal skills for interfacing with multidisciplinary and multicultural teams.
  • Strong organizational and detail-oriented approach, with ability to manage high volumes of documentation.
  • Experience with document control systems (EDMS), especially Aconex, Procore, SharePoint, or similar.
  • Working knowledge of project workflows, design documentation, vendor submittals, LLE tracking, and client correspondence.
  • Proficient in Microsoft Office Suite and reporting tools (e.g., Excel dashboards, PDF markup tools).
  • Strong communication, organization, and stakeholder coordination skills.
  • Ability to work independently, manage a team, and meet tight project deadlines.
  • Degree or diploma in Engineering, Construction Management, Information Systems, or a related discipline.
