NDP1 Facilities Management Coordinator (Batam)

Position 

The NDP1 Facilities Management Coordinator will be part of the Data Centre team. 

Location 

Based in our offices in Batam, Indonesia. 

Overview  

The NDP1 Facilities Management Coordinator will be responsible for providing operational and administrative support for the Data Centre operational team. This role oversees maintenance planning, CMMS workflows, contract management, documental control, DLP contract management, asset management, customer notification and facilities management related documentation. This position ensures maintenance activities are executed efficiently, records are accurate and audit-ready, and communication is clear across internal teams, contractors, and customers. 

Key Responsibilities  

  • Develop and maintain the Preventive Predictive Maintenance (PPM) master schedule for all Data Centre equipment and system.
  • Coordinate with internal technicians and vendors to ensure timely PPM execution.
  • Track overdue maintenance tasks and ensure closure.
  • Prepare weekly and monthly maintenance plans and dashboards.
  • Manage all CMMS ticketing system inventory, Change Management ticketing system, CAB meeting minutes, PPM, Corrective Maintenance, and ad-hoc tasks ticketing and record. 
  • Validate all maintenance reports, service reports, part usage, and upload supporting documents.
  • Maintain equipment data, asset details, and maintenance history accuracy in CMMS.
  • Maintain and update contractor list, service contracts, scope of work, and renewal timelines.
  • Track contract expiration and initiate renewal on procurement processes.
  • Review vendor service reports, checklists, PTW, contractor access, certification, license, ensuring all documentation is complete before upload to CMMS ticketing system.
  • Maintain the DLP defect register for new builds and handover equipment.
  • Track contractor responsibilities, rectification schedules, and closure progress.
  • Follow up with contractors on outstanding defects, KPI meeting and documentation.
  • Maintain a structured document register, including SMEOPs, drawings, OMM manuals, warranties, and safety documents.
  • Support internal and external audits, customer audit.
  • Prepare and send customer notifications for planned maintenance, incident updates, break-fix work, emergency work.
  • Track customer acknowledgements and align maintenance timing with customer blackout periods.
  • Support RCA documentation, customer MBR report and other reporting.
  • Maintain and update asset register for all Data Centre equipment, components, and replaceable parts, perform regular asset stock take to ensure accuracy of inventory and spare parts.
  • Support asset lifecycle management, including decommissioning documentation.
  • Support onboarding of new contractors, induction records, contractor refresh training.
  • Support Operations team during emergencies, incident response, mock drill by arranging contractors, fuel suppliers, water suppliers.

Qualifications & Experiences 

 Mandatory Requirements: 

  • 2+ years of experience in facilities or operations management.
  • Fluent and able to communicate in English.
  • Knowledge of electrical or mechanical trade background or degree.
  • Ability to review standard of Operations Procedure, Method of Procedure, Emergency of Operations Procedure, Incident Reports, Root Cause Analysis reports, asset management, PTW request.
  • Knowledge and experience of manage CMMS ticketing, Customer Portals, Change Management, PTW, PPM Planner, Corrective Maintenance, audit.
  • Understanding of Data Centre infrastructure, MV switchgear, UPS, Generators, Chillers, Cooling Tower, CRAH, Fire protection systems.
  • Strong organizational skills with high attention to detail.
  • Able to work under time sensitive conditions.
  • Able to work collaboratively with work relevant stakeholders.
